How to Create Gannt Charts



Gannt Diagram Lesson Goal:

Teach a way to indicate slippage of a project task on another row of the Gannt Diagram using the existing schedule without adjusting the task's start date:

Using a project plan which has been baselined previously:
One of the tasks is projected to begin on 10/22 ending on 10/24. As of today, 10/27, the tasks remains unstarted.

The resulting Gannt should indicate:

  • Forecasted begin 10/22 - estimated completion 10/24
  • Adjusted begin 10/27 - completion 10/29.

What to do:

The first step is to perform schedule maintenance in Microsoft Project so that:

  1. No work which has not been started remains prior to the Date used for Status
  2. No unfinished effort remains with an end date prior to the Date used for Status.
  3. No Actual Begin Date is later than Date used for Status.
  4. No Actual Finish is later than Date used for Status.

If you don't have Project use percent Complete when executing schedule maintenance, MS Project won't be able to figure out how to help you.

Following are a couple things you can do to output the targeted Gannt view:

  • View/Tracking Gannt:
    It displays a view with the Gannt lines for both baseline and current schedule forecast one after the other.
  • Select Format/Gannt Chart Wizard:
    Select Baseline and continue from that point.
  • Tools/Tracking/Update Project:
    Select the menu selection to reschedule incomplete work so that it starts after mm/dd/yyyy
    Thankfully, Microsoft Project provides the status date as part of the process.
